In order for the coaches to make boat lineups and try to create the best opportunities for everyone to learn, we need you to help us out by marking your attendance in iCrew. The sooner you can mark your attendance, the more effectively the coaches can plan.
Mark attendance for the week at the beginning of the week - It’s helpful if you take a look at your attendance for the upcoming week on Sunday or Monday and mark your attendance for the week at that point. It really helps plan the week if attendance is fairly accurate by Monday. Please mark your attendance a minimum of 48-36 hours before each session.
Additions or cancellations withing 36 hours are OK - You can cancel or add yourself up to 36 hours before practice without it being an issue.
Additions or cancellations within 24 hours require additional steps - If you have to cancel, or would like to add yourself within 24 hours of practice, please make the change in iCrew, then put a note in GroupMe to let the coaches know. If you are adding, there is a chance that we might not have a boat for you. If we do not, we will contact you to let you know.
Please send the note in GroupMe rather than text a specific coach directly. Coaches often rotate who is in charge of a session and we all check GroupMe.
Please be aware that last minute cancellations, or no shows at practice, affect everyone that is attending that practice. It is possible that others may not be able to row, or that someone may miss out on an opportunity for a learning experience (like being in a single for the first time), or some similar situation if you cancel at the last minute.
That having been said, we do understand that people wake up not feeling well (I think that everyone prefers if you keep germs at home), or have last minute emergency situations come up. If everyone saves their last minute cancellations for those situations, everything usually works out.
Use “Notes to Coach” in iCrew if there is anything that you need the coaches to know about that practice (if you have to leave right on time, or Masters, if you have a back-end for a session, coming straight from Jazz Band, riding with another rower, going home with another rower, have a minor medical issue that might affect participation that we might need to know about, etc.) please feel free to put that in Notes to Coach. We do go over those for every practice.
Once we know who is coming to a session (we do ask that everyone mark their attendance 24-36 hours before the session so we know who is coming), we send out a lineup in GroupMe so that you know what boat you are rowing, who is in charge of your boat and who else you will be rowing with before you arrive at practice. This helps expedite the process of getting out to row. You will want to join the appropriate GroupMe so that you can come to practice prepared. We also send out notification about changes to practice times or locations, etc. in GroupMe, so it’s very important to join that group.

Once we do boat lineups, last minute cancellations can be difficult and affect everyone that is coming to row that day (often causing others not to be able to row that day), so please keep that in mind when you sign up.
For each on-water practice, we will put together lineups and send them out in the appropriate GroupMe. Lineups are sent out prior to practice time.
It is helpful if you check GroupMe and know three things when you arrive to help expedite getting out on the water.
what boat you are in;
what seat you are in;
who is “in charge” of your boat (coxswain or bow person).
We typically do not send out lineups prior to indoor practices.
